- Group size. A facilitator costs much the same for 15 people as for 40. Many venues set a minimum number or a minimum spend, and some offer lower per-person rates as numbers grow.
- Distance and transport. A venue on the edge of Nairobi needs no bus. Naivasha, Sagana or Nanyuki means hiring buses for a long day and an earlier start.
- Activities. Ground games and problem-solving exercises are cheap to run. Paintball, rafting, zip lines and quad bikes carry equipment and safety costs.
- Food and drink. Buffet lunch with a soda is the usual baseline. A barbecue, an evening bar tab or a themed dinner adds up.

- Headcount and mix. Numbers, any mobility or dietary needs, and how many senior leaders will attend.
- Goal. Better communication, a new team getting to know each other, a reward, or a strategy session with activities. The goal changes the programme.
