A strategic planning retreat in Kenya usually runs two to three days at a venue one to four hours from Nairobi, with a facilitator and a clear output: agreed priorities, owners and dates. For a leadership team of 20, two nights on a mid-range full-board conference package typically costs KES 360,000 to 600,000 before transport and facilitation.

The short version

  • Decide the output before the venue. A retreat without pre-work becomes an expensive talk shop.
  • Limuru and Machakos suit one-night retreats; Naivasha and Nanyuki suit two nights; the coast needs three.
  • Typical 2026 residential conference packages: KES 9,000 to 15,000 per person per night mid-range, KES 23,000 to 36,000 at premium safari lodges.
  • Use an outside facilitator if the CEO needs to take part rather than run the room.

What is a strategic planning retreat, and do you need to go off-site?

It is a working session, usually for a board or leadership team, held away from the office so people can think past this week’s problems. You need to go off-site when the team keeps getting pulled back into operations, or when the discussion needs privacy and time.

A retreat is one step in a strategy process, not the whole process. Writing a full strategic plan takes weeks of research, interviews and drafting; one Kenyan organisation’s 2026 terms of reference for a strategic plan consultancy set out 45 to 60 working days. The retreat is where the leadership team makes the choices that the plan then records.

If your team only needs a half-day review of last year’s targets, a meeting room in Nairobi is enough. See our guide to Nairobi conference venues for that. Go out of town when you are setting direction for three to five years, merging teams, or resetting after a hard year.

Where should you hold a strategy retreat in Kenya?

Pick the region by how long you can afford to spend on the road, then pick the venue. Limuru and Machakos are close enough for a one-night retreat, Naivasha and Nanyuki suit two nights, and the coast only makes sense for three or more.

RegionTravel from NairobiSuitsWatch out for
Nairobi outskirts (Karen, Runda, Kiambu Road)Under an hour, traffic permittingDay sessions, boards with busy diariesPeople slipping back to the office at lunch
Limuru and TigoniAbout 45 minutes to an hourOne-night retreats; quiet, green, tea-country setting (Brackenhurst is a well-known option)Cold, damp evenings; plan warm indoor breakout rooms
Machakos and the Mombasa Road sideAbout one to one and a half hoursOne or two nights, larger groups, team-building add-onsMombasa Road traffic leaving Nairobi on a Friday
NaivashaAbout two hoursThe classic two-night retreat; lakeside venues at many price points, Hell’s Gate nearby for an afternoon outHeavy weekend traffic on the Nakuru highway; book early for popular dates
Nanyuki and LaikipiaAbout three to four hours by road, or a short flight from Wilson AirportSenior teams, two or three nights, mountain views, real distance from the officeTravel time eats day one; cold nights
Mombasa and DianiAbout five to six hours on the SGR, or around an hour by airThree-night retreats combined with rest or a reward tripFlight costs, heat, and a holiday mood that competes with the work

We do not recommend any single venue here. Rates, room counts and meeting space change, so confirm directly with each venue and ask for its conference package in writing. Check that the main room has daylight, reliable Wi-Fi, a backup generator and at least two breakout spaces.

How much does a strategic planning retreat cost in Kenya?

The venue package is usually the biggest line: roughly KES 3,000 to 6,000 per person for a day conference and KES 9,000 to 15,000 per person per night for a mid-range residential package, with premium lodges at KES 23,000 to 36,000. Transport, facilitation, team-building and extras sit on top.

Cost lineTypical range we see in 2026What moves the price
Day conference package (room, tea breaks, lunch, basic AV)KES 3,000 to 6,000 per person per dayHotel tier, location, number of breakout rooms
Residential full-board conference package, mid-rangeKES 9,000 to 15,000 per person per nightSingle vs shared rooms, weekend vs weekday, season
Residential conference package, premium lodge or safari campKES 23,000 to 36,000 per person per nightLocation, room type, inclusions such as drinks
Team-building add-on at the venueKES 3,000 to 5,500 per personActivity type, facilitator, safety gear
Road transportQuoted per vehicle per dayDistance, bus size, overnight driver costs
FacilitatorQuoted per day or per assignmentSeniority, pre-work, interviews, the written report

These are typical published market rates, not Red Giant prices. Many venues quote single rooms at a premium over shared, and leadership teams almost always want single rooms, so ask for both. Get each quote in writing, with the cancellation terms.

A worked example

Twenty leaders, two nights in Naivasha on a mid-range package at KES 9,000 to 15,000 per person per night: KES 360,000 to 600,000 for the venue. Add a coach, a facilitator for two days plus preparation, and an evening dinner or activity. The venue is rarely the line that goes over budget; extra nights for early arrivals, bar tabs and last-minute AV usually are.

When is the best time to hold a strategy retreat in Kenya?

Hold it two to three months before your budget is due, so the choices you make feed straight into the numbers. For a June year-end that means March or April; for a December year-end, September or October.

Weather plays a part. The long rains run roughly March to May and the short rains from October into December, which matters if your agenda includes outdoor team-building or long drives on rural roads. Avoid the weeks around public holidays and school half-terms, when venues are full and senior people are on leave; check our Kenya public holidays list before you fix the date.

What should a strategic planning retreat agenda look like?

Spend the first day understanding where you are and the second deciding what you will do, with owners and dates agreed before anyone leaves. Everything else is pre-work or follow-up.

Before the retreat

  • A short anonymous survey of the leadership team: what is working, what is not, what we are avoiding.
  • A data pack sent a week ahead: financials, customer numbers, market changes, progress on last year’s plan.
  • Five to ten interviews with staff, customers or board members, summarised by the facilitator.

Day one: where are we?

  • Morning: honest review of last year’s plan. What did we commit to, what happened, why.
  • Late morning: the outside view. Market, competitors, regulation, technology, customers.
  • Afternoon: strengths and gaps, then a long list of options.
  • Evening: an informal dinner. Some of the best conversations happen here, so do not fill it with speeches.

Day two: what will we do?

  • Morning: choose three to five priorities. Say out loud what you will stop doing.
  • Late morning: for each priority, an owner, a measure and a first 90-day milestone.
  • Afternoon: risks, resources and the budget implications.
  • Close: read back the decisions and agree how they will be shared with staff.

Start with something that gets people talking honestly early; our list of icebreakers for strategic planning sessions has options that do not feel forced. A short team-building block on the afternoon of day one can help a new leadership team, but keep it to two hours.

From experience: agendas that try to cover twelve topics in two days end with twelve half-decisions. Cut the list before you travel.

Do you need an external facilitator for a strategy retreat?

Usually yes, if the most senior person in the room needs to take part rather than chair. A good facilitator keeps time, makes sure quieter voices are heard and pushes the group to decide.

Three roles often get confused, and it helps to name them in the brief:

  • Facilitator: designs and runs the sessions, manages the room and writes up the decisions.
  • Strategy consultant: brings research, analysis and recommendations, often over several weeks.
  • Retreat or event organiser: handles venue, transport, rooms, meeting set-up, AV, meals and any team-building or evening programme.

Red Giant Media is the third: we handle the logistics and the experience so the facilitator and your team can focus on the work. If you need help finding a facilitator, see our guide to team-building facilitators in Kenya for what to check, and ask any strategy facilitator for a quote that separates preparation days, facilitation days and the written report.

How do you make sure the retreat leads to action?

Circulate a written summary of decisions within a week and book the first 30-day check-in before you leave the venue. Most retreats fail in the month after, not on the day.

  • One page of decisions, owners and dates, not fifty pages of flip-chart photos.
  • A message to all staff within two weeks, so the wider team hears the priorities from leadership rather than the corridor.
  • 30, 60 and 90-day reviews in the normal management meeting.
  • Confidentiality: if sessions are recorded or photographed, tell participants how the material will be stored and who sees it. The Data Protection Act 2019 applies to personal data, including recordings and images of identifiable people.

How to brief a retreat organiser (what to send)

Send the numbers, the dates and what the sessions need, and you will get comparable venue options within a week.

  • Number of participants, and whether each needs a single room.
  • Preferred dates plus one fallback, and the number of nights.
  • Region or maximum travel time from Nairobi.
  • Room set-up: plenary layout, number of breakout rooms, screens, flip charts, Wi-Fi needs.
  • Budget per person per night, or a total.
  • Transport: from where, and whether anyone flies.
  • Evening programme or team-building wishes.
  • Dietary, accessibility and prayer-time needs.
  • Confidentiality requirements: private dining, no outside AV crew in sessions, recording rules.

Our corporate events team scopes retreats from exactly this list. Red Giant Media is Nairobi-based, since 2014, and has worked with brands including Safaricom, MultiChoice Kenya, Family Bank and Co-operative Bank. If the retreat doubles as a staff reward, our guide to employee appreciation ideas covers that side.

Quick answers

How much does a strategic planning retreat cost in Kenya?

Typical 2026 venue costs are KES 3,000 to 6,000 per person for a day conference package and KES 9,000 to 15,000 per person per night for a mid-range residential package, with premium lodges at KES 23,000 to 36,000. Transport, facilitation and extras are on top.

What are the best places near Nairobi for a corporate strategy retreat?

Limuru and Machakos suit one-night retreats, Naivasha is the usual choice for two nights, and Nanyuki suits senior teams who want real distance. The coast works for three nights or more. Confirm rates and meeting space directly with each venue.

How long should a strategic planning retreat be?

Two days of sessions with one or two nights away is enough for most leadership teams, provided the pre-work is done. Day one reviews where you are; day two sets priorities, owners and dates.

Do we need an external facilitator for our strategy retreat?

Usually yes, if the CEO or chair needs to take part rather than run the room. Ask facilitators for a quote that separates preparation days, facilitation days and the written report.

When is the best time of year to hold a strategy retreat in Kenya?

Two to three months before your budget is due: March or April for a June year-end, September or October for a December year-end. Avoid public holiday weeks and plan around the rains if activities are outdoors.

What should we send a venue or events agency when planning a retreat?

Headcount and room needs, dates plus a fallback, region or maximum travel time, room set-up and breakout needs, budget per person, transport, evening programme, dietary needs and confidentiality requirements.
