A gala dinner is a long evening with a lot of moving parts: arrivals, speeches, three courses, an awards segment, a performance and a dance floor, all inside about five hours. Guests remember the good ones for the atmosphere. They remember the bad ones for the 40-minute gap between starter and main course, and the speech that would not end.

When is a gala dinner the right format?

A gala dinner suits occasions where recognition and relationships matter more than content: an annual awards night, a company anniversary, a client appreciation evening or a fundraiser. If you mainly need to share information, a conference with a cocktail is cheaper and kinder to your guests.

The format has a few fixed parts: a formal seated meal, a host or MC, a short programme of speeches or awards, and entertainment that turns into a party later in the night. What changes from one gala to the next is the scale, the venue and how much production goes into the room.

Start with three decisions, in this order: the purpose of the night (who must leave feeling what), the headcount, and the date. The venue, the menu and the act all follow from those. December Fridays in Nairobi go early, so for an end-of-year gala, start talking to venues by August.

How much does a gala dinner cost in Kenya?

Most corporate gala dinners we see in Nairobi in 2026 cost between KES 6,000 and KES 20,000 per guest in total, with food and drink taking the biggest single share. Premium five-star evenings with wine and heavy production go above that.

For reference, ticketed professional-body galas at large Nairobi hotels in 2025 sold single seats at around KES 9,000, and festive set dinners at premium hotels were listed above KES 12,000 per person. Those are public prices, which include the organiser’s margin, but they are a useful sense check.

What pushes the per-head figure up or down

  • Headcount. Stage, sound, lighting and the headline act are mostly fixed costs. Spread over 400 guests they are small per head; over 80 they are not.
  • The bar. An open bar all night can cost as much as the food. A welcome drink, wine with dinner and a cash or token bar after 10pm keeps it under control.
  • The venue’s rules. Some ballrooms include basic sound, staging and decor in the package. Others charge for everything, or insist on their in-house AV.
  • The date. Early-December weekends cost more and leave less room to negotiate.

What does a good run of show look like?

A good gala run of show puts the programme between courses, keeps every speech under seven minutes, and opens the dance floor by about 10pm. Here is a version we would start from for a 7pm sit-down.

The kitchen needs this schedule in writing, because service speed decides whether you keep it. Agree with the banqueting manager how long each course takes to clear and serve for your headcount, and build the programme around their answer, not the other way round.

From experience: the evening slips most during arrivals. Put the cocktail space next to the hall, close it at 6:50pm and have the MC call guests in. A 30-minute late start eats the dance floor, not the speeches.

How should you seat a gala dinner?

Use round tables of eight to ten, a seating plan you publish at the door, and a VIP table close to the stage that does not block anyone’s view. Seat with intent: mix departments, keep nominees near aisles, and put clients next to the people they deal with.

  • Rounds or long tables. Rounds of ten are the default and easiest for service. Long banquet tables look striking but make conversation harder and slow down waiters.
  • Sight lines. Walk the room from the back corners before the day. If a pillar or speaker stack blocks the stage, add a screen or move the table.
  • Nominees. Seat them on aisle-side chairs with a clear route to the stage. Nobody should climb over a handbag to collect an award.
  • Allow for no-shows and plus-ones. Confirm numbers a week out, and keep one or two flexible tables.
  • Accessibility. Check step-free access to the hall, the stage and the toilets for anyone who needs it.

Put a name card at every seat for formal evenings. It takes an afternoon to prepare and saves an awkward ten minutes at the door.

How do you run the awards segment?

Keep each awards block to about 20 minutes, cap the night at around 12 to 15 awards, and rehearse the walk to the stage. Read citations of 30 to 40 seconds, use walk-up music, and have a trophy handler at the side of the stage.

  1. Script every award. Category, short citation, presenter, winner. The MC holds the master copy.
  2. Tell presenters where to stand. Mark the spot for photos so the photographer is not guessing.
  3. Line up trophies in order on a covered table at the side of the stage, with the winner’s name on a tag.
  4. Brief the photographer and video team on the running order and the top award.
  5. Do a technical run in the afternoon with the MC, the AV team and at least one presenter.

Match entertainment to each part of the night: quiet live music during dinner, one feature act after the main programme, and a DJ for the dance floor. State the dress code on the invitation in plain words, such as “Black tie” or “Formal or African formal”.

Vague dress codes create uneven rooms. “Black tie” means dinner suits and evening gowns. “Formal” means dark suits and cocktail or evening dresses.
