
The end-of-year party is the one event most staff actually look forward to, and the one most HR teams start planning too late. The venue sets almost everything else: the budget, the mood, how people get there and how they get home. Here is how to choose it well.
- Book early. The first three weekends of December go first, often before October is out.
- Choose the venue type by headcount and format, then shortlist by location.
- December is in the short rains. Every outdoor option needs a covered plan.
- Plan transport home before you plan the décor.
When to book and which date to pick
In Nairobi, the busy period runs from late November to the week before Christmas. Friday and Saturday nights in that window are the most requested slots of the year for venues, caterers, DJs and sound suppliers alike.
A sensible timeline looks like this:
- August to September: agree the budget and headcount, and start shortlisting venues.
- September to October: visit, decide and pay the deposit.
- October to November: book entertainment, décor, transport and any theme elements.
- Two weeks before: confirm final numbers and the run of the evening.
If you are late, be flexible. A Thursday evening, a Sunday lunch or a party in the second week of January often gets you a better venue at a better rate. Staff rarely mind once they hear the plan.
Matching the venue to your headcount

These are general bands, not rules. A seated dinner needs much more room than a standing party for the same number of people. Always ask a venue which layout its capacity figure is based on.

From experience: plan the food service for the moment everybody is hungry at once. Two or three serving points instead of one long buffet line will do more for the mood of the night than any décor upgrade.
Location, transport and getting home
Where the venue is matters as much as what it looks like. A party that starts at 6pm on a December Friday competes with the worst traffic of the year.
Starting from the office
If most staff leave from the same place, either pick a venue close by or hire buses. Buses solve three problems at once: late arrivals, parking and drinking and driving.
Getting everyone home safely
This is the part companies forget until 11pm. Options include return buses on two or three routes, a taxi arrangement paid by the company, or an agreed finishing time that allows public transport. Decide before the night and tell staff in the invitation.
Out-of-town parties
A party outside Nairobi feels like an occasion, but it adds transport, possibly accommodation, and a longer day. It works best as a daytime event or an overnight retreat, not an evening that ends with a long drive in the dark.
Keeping the cost under control
The venue hire fee is rarely the biggest number. Food and drink usually are. A few things make a real difference:
- Compare venues on the total cost per guest, including everything you would have to bring in.
- Ask whether you must use the venue’s caterer and bar, and get their per-head menus early.
- Agree a drinks plan: a set number of drinks per person, an open bar for a fixed period, or a cash bar after a point.

Affordable options that still feel like a party
A smaller budget does not have to mean a flat evening. Some approaches we see work well:
- A daytime family fun day at club grounds or a garden, with food, games and music. It suits teams with young families and costs less to light and staff.
- Your own premises, transformed. A car park or rooftop with a tent, good lighting and a DJ can feel like a different place. Check power, toilets and the neighbours first.
- A January “new year” party instead of a December one, when venues are quieter and more willing to negotiate.

- Power and generator backup, and who pays for fuel.
- Toilets that suit your numbers.
- Music cut-off time and finishing time.
- Whether the venue covers music licensing through MCSK, KAMP and PRISK.
- Earliest time your suppliers can load in.
- Parking and a safe drop-off point for buses and taxis.
- Deposit, payment schedule and cancellation terms.
