- Drinks. An open bar can cost as much as the food. A drinks voucher system, a fixed bar tab or a cash bar after a set time keeps it under control.
- Date. Fridays and Saturdays in the first half of December are the most expensive and the first to go. A Thursday or late November saves money.
- Headcount. Small groups pay more per head because fixed costs such as sound, décor and the MC are shared among fewer people.
- Production. Stage, LED screens, lighting and live bands move a party from the middle of the table to the top.
- Distance. Leaving Nairobi adds buses, longer crew hours and sometimes accommodation.

For teams under about 30 people, choose something where everyone can talk to everyone. A private, shared experience beats a big venue that feels empty.
- Private dining room dinner with a short awards slot between courses. Low effort, works on almost any budget.
- Cooking or mixology class followed by eating what you made. Good for teams that do not usually mix.
- Nyama choma afternoon in a garden with lawn games and a playlist the team builds together.
- Day trip to Naivasha, Limuru or a park outside the city, with lunch and a light activity.
- Games or karaoke night in a private room. Cheap, loud and very popular with younger teams.
What works for mid-sized teams of 30 to 150?
This is the size where a theme and a simple programme start to matter, because people split into their usual groups unless something brings them together.
- Sports day plus party. Mixed teams compete in the afternoon, then dinner, awards and a DJ in the evening. Our team building crew runs this format often, and it is one of the best for mixing departments.
- Garden party with food stations. Grill, Swahili dishes and a dessert table instead of one long buffet queue.
- Themed dinner and awards. Light theme, a strong MC, five or six award categories people care about, then dancing.
- Family fun day. Daytime, with a children’s area, bouncing castles and face painting. It suits companies whose staff have young families and dislike late nights.
- Talent show. Teams prepare a short act in advance. Cheap to run and remembered for months.
What are the best ideas for large company parties?
For 150 people and more, the party becomes a production. You need a stage, a run of show and a plan for queues, transport and safety.
- Gala dinner with awards. Stage, screens, lighting, live band or DJ. Keep speeches under twenty minutes in total.
- Festival-style party. Food stalls, a main stage, chill zones and photo spots. People move around instead of sitting at assigned tables.
- Concert-style night with a headline artist. Book early, and read the contract on set length and sound requirements.
- Regional parties on the same night. For companies with branches, several smaller events linked by a live stream of the CEO’s message and awards.
From experience: for large parties, the queue is the first thing people complain about. Plan at least one food serving point per 100 guests and a separate drinks point, and the mood of the night changes.

Themes work when they are easy to dress for and cheap to join. If guests need to buy a costume, half will not bother.

What do companies get wrong with end-of-year parties?
Most failures are about logistics and inclusion, not the idea. Fix these and almost any format works.
- Getting home. Arrange transport or ride codes, especially if there is alcohol. It is the single most important safety decision of the night.
- Food for everyone. Halal, vegetarian and non-alcoholic options that are as good as the main offer.
- Timing. A weekday evening that ends by 11pm suits parents and people who live far out. A Saturday party is not really a gift if it takes their only free day.
- Rain. December falls in the short rains. Any outdoor plan needs a covered option for the full headcount.
- Music licences. If the venue does not hold them, recorded or live music at a public event needs licensing through the collecting societies (MCSK, KAMP and PRISK).
